This page can be very useful for meet directors to ensure that teams entering their meets will have error-free entries. It can also save meet directors time at the end of the meet, as all visiting teams with internet access will be able to retrieve electronic results at any time. Remember that posting files on this page does not relieve you of your obligation to send meet results to the ISI Office!
Instructions:
- Create your team's meet packet, including order of events. Obtain a sanction number from the ISI Office.
- Create a "pdf" file of the meet packet using Acrobat Distiller (at this time only pdf files will be accepted) and save it to your floppy drive.
- Set up your meet in Meet Manager. Be sure all events are set up exactly how you will be running them. You are about to create a file which other teams will use to enter your meet. Problems at this stage will lead to huge problems later.
- In Meet Manager, after you have set up your meet, click "File," then click "Export," then click "Events for TM."
- You will be given two options at this point. The first "Are converted entries allowed from Team Manager?" Choose the option which is appropriate for your meet. The second option is "Zip the .hyv event file?" Choose yes. The hyv file contains all event numbers and event descriptions for your meet, as well as time standards for the course your meet is held in. (Note: it will not include session numbers, divisions, or time standards for multiple courses. Not sure why.)
- Export the zipped hyv to your floppy drive.
- On your floppy drive, re-name the zipped file to indicate the host team and start date of meet. This will help the webmaster differentiate between your file and other team's files. For example, if the Carmel Swim Club (CSC) was hosting a meet starting on 2/14/04 they would re-name the zipped file as "csc021404". (To rename a file, simply "right click" on the file, then select "re-name.")
- Scan the floppy drive (which contains the pdf file and the hyv file) for viruses and email both files to the ilswim webmaster. You will need to send them as "attachments" to an email.
- The webmaster's address is coaches@wheatonswimming.com.
- After your meet has been concluded, you can post a "backup" of your meet for other teams to use. This ensures that all teams get an electronic version of your results, including any unattached athletes they may have had.
- In Meet Manager, click "File," then click "Back up." Export the Backup to your floppy drive.
- Scan your floppy drive for viruses and email the file to the ilswim webmaster. You will need to send it as an attachment. The webmaster's address is coaches@wheatonswimming.com

Instructions to Visiting Team on how to use this page to enter another team's meet or retrieve results:
This page can be very useful to teams wishing to enter another team's meet. It will help ensure that you have an error free entry and could help prevent you from being shut out of a meet.
Instructions:
- To download or view a host team's meet packet from this page, simply click on the "Meet Packet" which you would like to see. You will need to have Adobe Acrobat Reader installed on your computer.
- To download an Events File to use, simply click on the Events File (zipped hyv file) for the meet you wish to enter. You will be asked to save the file to your computer. Save it to your floppy drive or to any drive on your computer where you can remember where it is saved.
- After downloading the file, open Team Manager. Click "File," then click "Import," then click "Meet Event." Select the zipped hyv file which you just saved to your floppy or other drive. Team Manager will unzip the file for you and open a new folder containing the unzipped hyv file. Select that file and click OK.
- Team Manager then imports all the events for that meet exactly as the meet director set them up. Note that sessions, and divisions do not come across in the hyv file. You will need to set those up on your own. Time standards will come across if the meet director set them up, but only for one course (not multiple courses).
- To download a zipped "post meet backup," simply click on the backup for the meet you attended. The zipped backup contains all results, splits, and scores for all teams in the meet. Once you have saved the backup to your computer, you can unzip it (using Winzip or any other extraction program) and open it from Meet Manager. From there you can print results or scores (but remember they are NOT acceptable for proof of time - you still must have the original from the meet host), or you can export a CL2 file for Team Manager.
- NOTE FOR PROOF-OF-TIMES: Meets which post results on this page are "on schedule" in Illinois and, therefore, the ISI office SHOULD have these results in the State's Database. However, it is still the responsibility of coaches to provide proof-of-time at Championship Meets. Do not let a computer error on someone else's part lead to a penalty for your swimmer
